RESERVE A ROOM

The Brown County Public Library has meeting and study rooms available to reserve during normal library hours. These meeting and study spaces can be reserved in advance online or in person at the library by checking in at the Service Desk.

STUDY ROOMS

  • Study rooms are provided for individual quiet study and for small groups to work together without disturbing other library users. The use of these rooms should be consistent with the objective of the library, to provide for all ages, a suitable environment for research, study, reading, learning, and collaborating. Study rooms may be reserved for two (2) consecutive hours per day. The length of these sessions may be extended if no following reservation exists, and no other patron(s) are waiting to use the room. Advance reservations are recommended; however, walk-in requests will be honored depending on room availability. Any group or individual wishing to reserve a study room on a repeating basis must make specific arrangements with the Library Director.
  • Users must be age 14 or older to make reservations as an individual or as a group representative to use Study Room A without an adult present. Users must be age 16 or older to make reservations as an individual or as a group representative to reserve or use Study Room B without an adult present.
  • If the Study Room is vacant, an individual or group must check with staff at the circulation desk prior to occupying it.
  • Study Room use is limited to days the library is regularly scheduled to be open.
  • The Study Room must be vacated fifteen (15) minutes prior to closing.
  • Study Room A is recommended for no more than two (2) people at one time. Study Room B is recommended for no more than five (5) people at one time.

CONFERENCE ROOM

  • The Conference Room is our largest small group meeting space equipped with a telecommunication system for webinars, zoom/team meetings, etc.
  • Users must be age 16 or older to make reservations as an individual or as a group representative to reserve or use the Conference Room without an adult present.
  • Any group or individual wishing to reserve the Conference Room on a repeating basis must make specific arrangements with the Library Director.
  • If the Conference Room is vacant, an individual or group must check with staff at the circulation desk prior to occupying it.
  • Conference Room use is limited to the days the library is regularly scheduled to be open.
  • The Conference Room must be vacated fifteen (15) minutes prior to closing.
  • No more than fifteen (15) people may use the Conference Room at any time.

LOCAL HISTORY ROOM

  • The Library has a responsibility to collect and make available to the public materials documenting the history of the Brown County Community. Among the resources available are photographs, school yearbooks, plat books and maps, scrapbooks, and digital access to the local newspaper database. Patrons may reserve the room for ancestry or other research. Materials in the Local History Room are intended for use inside the room only. The computer station in the Local History Room is intended for research only. The Brown County Public Library District works with, but is not directly affiliated with, the Brown County Historical Society.
  • Special care should be taken when handling Local History Room materials
  • No damaging, marking, or writing in materials is allowed.
  • All drinks and food are prohibited in the Local History Room.
  • If the local History Room is vacant, an individual or group must check with staff at the circulation desk prior to occupying it.
  • Local History Room use is limited to the days the library is regularly scheduled to be open.
  • The Local History Room must be vacated fifteen (15) minutes before closing.
  • No more than six (6) people may use the Local History Room at one time.

 COMMUNITY ROOM

  • All attendees attending an event in the Community Room must use the Library’s front entrance.  Room usage must not interfere with normal library operations.  Materials may not be stored in the room before or after the reserved time, unless pre-approved by the Director.  Materials may not be attached to library windows, walls or doors except in a manner approved by library staff. Library sponsored activities are always given priority. The library may preempt established reservations upon reasonable notification to the group(s) involved.  A Community Room usage fee is applicable under circumstances as noted under B and C below. No admission fee may be charged or funds solicited for “cost recovery” to attend an event held in the community room. The Community Room will be locked when not in use.
  • The Community Room is available to be reserved during library regular business hours for large-group gatherings of organizations engaged in educational, cultural, intellectual, civic, or charitable events as a public service. No fee for meeting space shall be charged for these groups, however, donations to the Brown County Public Library District are welcome.
    • An individual or group representative must be 18 or older to reserve or use the Community Room during regular library business hours without an adult present
    • Physical arrangements of the room, equipment, and seating must be planned at the time of the room reservation. Requested library-owned technology equipment will be set up by library staff only.  The room and its contents must be used with care.
    • Reservations for Community Room usage during regular library business hours should be made at least one week prior to the event to allow for approval and notification.  Reservations may not be made more than three (3) months in advance without approval by the Director.
    • The group making the reservation is responsible for room set-up and clean-up. Chairs and tables should be handled to avoid damage to the library flooring.
    • Any group wishing to reserve the Community Room on a repeated basis or more than once a month must have the approval of the Director.
    • A small kitchen is available for use for events held in the Community Room. The event host must provide their kitchen supplies and leave the kitchen in a clean condition. Refreshments may be brought in and all food and beverages shall remain exclusively within the Community Room. Alcohol is not permitted.  A fifty-dollar ($50.00) cleaning fee will apply.
    • The Community Room must be vacated fifteen (15) minutes prior to closing.
  • Community Room rental outside the library during regular business hours or for private party social events, held outside the regular hours or during the regular hours of the library, shall be two-hundred fifty dollars ($250.00) paid at the time of reservation. Library cardholders will receive a fifty-dollar ($50.00) discount off the rental fee. A fifty-dollar ($50.00) cleaning fee will be in addition to the rental fee.
    • An individual or group representative must be age 21 or older to reserve the Community Room outside regular business hours and for all private party social events.
    • A small kitchen is available for use for events held in the community room. The renter must provide their own kitchen supplies and leave the kitchen in a clean condition. Refreshments may be brought in and shall remain exclusively within the Community Room.  Alcohol is not permitted.

    • Community Room rental outside the library during regular business hours and for all private party social events has a maximum rental time of no more than three (3) hours, with thirty (30) minutes prior to and thirty (30) minutes after reservation for set-up and take-down purposes.
  • The maximum number of attendees for a private social event held in the Community Room is eighty-five (85).  The maximum number of attendees for a public event held in the Community Room is one hundred two (102). Depending on the room setup, these numbers may be significantly reduced.
